Build the room and floor register
- Record the address, building name if useful, floor or suite and property use.
- List rooms proposed for service and mark spaces excluded from the request.
- Separate tenant premises, strata common areas and any public-facing business space.
- Name the contact authorized to approve each part of the scope.
Match the work to the surface
- List carpet, tile and other floor finishes by area.
- Identify cleared desks, counters, meeting tables, washroom fixtures and shared touchpoints.
- Keep routine visits separate from periodic floor, carpet or glass work.
- Note furniture, stock, vehicle displays and equipment that must stay in place.
Set a practical working window
- Record opening hours, evening occupants and amenity bookings.
- Confirm the entry route, sign-in point and any elevator or loading restrictions.
- Identify water, storage and agreed waste-transfer arrangements.
- Choose an access-problem contact; share keys or codes later through a secure handover.
Make the quote understandable
- Request tasks and visit frequency for each area, not only a building-wide total.
- State who supplies soap, paper products, liners and equipment.
- Show initial cleaning, occasional work and optional tasks separately.
- For more than one address, request a scope and price by location.
Choose the review points

- Select observable items from the agreed room list, such as an entrance surface or a meeting table.
- Record concerns by floor, room and task, without private documents or identifying photographs.
- Agree who receives an exception and who approves a scope change.
- Confirm the final provider, price, tasks and schedule in writing before service.
